About the Role

We're hiring a Frontline Manager for our Bike Valet program. In this key role, you'll manage daily operations, lead a vibrant team, and improve the urban cycling experience. Your focus will be on operational efficiency, careful planning, and top-notch customer service. This job is more than just parking bikes - it's about promoting sustainable transportation and building community.

Key Responsibilities

Operational Management

  • Assess the feasibility of servicing multiple events based on resource availability, geographic proximity, and operational capacity.

  • Oversees daily operations at all locations, ensuring adherence to operational standards and procedures.

  • Coordinate with onsite staff to manage event setups, attendee interactions, and bike parking logistics effectively.

  • Identify and address any operational issues or challenges that arise during events, including staffing shortages, equipment malfunctions, or customer complaints.

  • Act as the primary point of contact for resolving operational issues in a timely and efficient manner, escalating complex issues to upper management when necessary.

  • Review proposed business development initiatives to assess their operational feasibility.

  • Provide recommendations or suggestions to enhance the operational feasibility of the proposed initiatives.

  • Conducts regular patrols at Bike Valet stations to ensure smooth operations.

  • Ensures equipment and facilities are in good working condition.

  • Coordinates with attendants for proper setup and organization of bike parking areas.

  • Responds to operational issues reported by attendants or customers.

  • Investigates problems and implements immediate solutions.

  • Documents and reports significant operational issues to higher management.

  • Identifies opportunities for process improvement.

  • Gathers feedback from attendants and customers for enhancement initiatives.

  • Collaborates with relevant stakeholders to implement improvements.

Employee Scheduling

  • Review event schedules and requirements to assess staffing needs effectively.

  • Use scheduling software or spreadsheets to develop weekly or monthly rosters for Bike Valet attendants.

  • Take into account factors like event duration, projected attendance, and staff availability when arranging schedules.

  • Ensure timely communication of schedules to staff, delivering clear instructions and outlining expectations.

  • Oversee the approval of hours and timesheets, ensuring accuracy and resolving any discrepancies in reported hours.

  • Provide justification for any variations in hours to maintain transparency and accountability in payroll processes.

Volunteer Management

  • Train and coordinate volunteers to support Bike Valet operations, ensuring alignment with organizational goals and volunteer expectations.

  • Foster a positive volunteer experience through effective communication, training, and recognition programs.

Logistics and Inventory Management

  • Maintain detailed records of inventory and equipment usage for both events and seasonal operations.

  • List inventory and equipment used daily, noting quantities, conditions, and any maintenance or repair needs.

  • Coordinate with onsite staff to ensure accurate recording of equipment usage and facilitate timely updates to inventory records.

  • Collaborate with the Finance Controller to provide insights and recommendations regarding equipment needs and procurement priorities based on frontline operational requirements and event schedules.

Reporting, Documentation, and Record-Keeping

  • Ensures accurate recording of attendance, incidents, and other relevant documentation.

  • Ensures regular reporting of every shift (including number of bikes parked, type of bikes parked, temperature, incidents, etc.) and to submit these statistics to the Business Development Manager & Analyst.

Staff Training and Compliance

  • Ensures that training modules are regularly updated to reflect improvements in procedures.

  • Provides appropriate training on operational procedures, safety protocols, and customer service standards.

  • Monitors staff performance and compliance.

  • Offers ongoing support and coaching to address training gaps or performance issues.

Skills and Qualifications

  • A bachelor's degree in business administration, operations management, logistics, or a related field is preferred.

  • Proven experience in operations management, preferably in a similar industry or environment.

  • Strong leadership abilities with the capacity to inspire and motivate teams to achieve operational goals.

  • Effective communication and interpersonal skills to foster collaboration and build positive relationships with internal and external stakeholders.

  • Ability to provide clear direction, delegate tasks, and hold team members accountable for their performance.

  • Genuine enthusiasm for the mission and values of The Bike Valet, including promoting sustainable transportation, supporting community events, and fostering active lifestyles.

  • Ability to handle multiple tasks efficiently and work well under pressure.

  • Knowledge of scheduling software (e.g., Sling) and Microsoft Office Suite.
